At AvailTrace, we value your privacy and take the protection of your information seriously. This Privacy Policy explains how we collect, use, protect, and manage information when you use the AvailTrace website and pharmacy management platform. By using AvailTrace, you agree to the practices described in this policy.
1. Information We Collect
We may collect information you provide when you create an account, use AvailTrace, contact us, or request support. This may include:
- Name, email address, phone number, and account credentials
- Pharmacy name, registration number (PCN details), and business information
- Inventory data, cost/retail prices, batches, quantities, and transaction records
- Team or user activity within the pharmacy management platform
- Information you provide when contacting our technical support team
We may also collect basic technical information, such as your device type, browser, IP address, and information about how you use our platform. Note: In our current v1 architecture, AvailTrace does not collect, store, or transmit patient names, home addresses, or patient-identifiable medication histories on the cloud. The system handles purely retail inventory volumes and sales billing records.
2. How We Use Your Information
We use your information strictly to support your pharmacy operations, including:
- Providing, maintaining, and synchronizing AvailTrace services
- Managing your account and multi-tenant pharmacy profile
- Supporting inventory tracking, sales processing, alerts, and reporting features
- Providing client-side browser sandboxing, database replication, and technical support
- Improving the performance, speed, and reliability of our platform
- Protecting AvailTrace against fraud, misuse, and security threats
- Communicating important system status or security updates about our services
- Meeting applicable national data-protection and healthcare regulatory requirements
We only use personal information for appropriate, legitimate, and lawful purposes under the Nigeria Data Protection Act (NDPA). We do not sell your personal data.
3. Pharmacy Data
Information entered into AvailTrace may include pharmacy records such as products, stock levels, sales, transactions, expiry dates, and team activity.
We use this information to provide the features and services available through AvailTrace. Pharmacies using AvailTrace are responsible for ensuring that they have the appropriate permission and lawful basis to enter personal information belonging to their customers, employees, or other individuals.
4. How We Protect Your Information
We use reasonable technical and organizational measures to protect your information from unauthorized access, loss, misuse, alteration, or disclosure.
AvailTrace is designed to support offline work. When you use the platform without an internet connection, certain information is stored securely on your local device (using client-side IndexedDB databases) and synchronized automatically to our secure cloud servers once your connection is restored. While we take reasonable steps to protect your information, no online system can guarantee complete security.
5. When We Share Information
We may share information with trusted service providers that help us operate AvailTrace, such as hosting, cloud storage, security, communication, analytics, and technical service providers.
We may also disclose information where required by law or where necessary to protect our rights, users, or services. We do not sell, lease, or rent your private commercial records, sales history, or pharmacy details to suppliers, marketing firms, or other third parties.
6. Data Retention & Account Deletion
We keep personal information only for as long as reasonably necessary to provide our services, fulfill legitimate business purposes, comply with legal obligations, resolve disputes, and maintain appropriate records.
If you decide to terminate your participation in the Pilot Program or delete your account, you can request full deletion of your tenant space. Upon validation by your registered superintendent pharmacist, we will permanently purge all inventory, transaction, and audit logs from our central servers within 14 business days.
7. Your Privacy Rights
Depending on applicable law, including the Nigeria Data Protection Act (NDPA), you have the right to:
- Request access to the personal information we hold about you
- Ask us to correct inaccurate or incomplete information
- Request deletion of your information where applicable
- Object to or request restriction of certain processing
- Request a portable copy of certain personal information
- Withdraw consent where processing is based on consent
- Lodge a complaint with the Nigeria Data Protection Commission (NDPC)
